The filename wouldn’t have changed, although the file may have been edited. How would you know which file is the one you want to keep or discard? You could manually check the date modified, but then you might copy across the wrong file or overwrite the new file with the old revision.

It will synchronise folders so that it can tell if documents have been edited or altered by checking the time and date a particular document was saved.

Windows Live Messenger 9 due for public testing, soon?

Screengrab_2 Social networking applications are hugely popular, and when Microsoft announce, unofficially, new features planned for Windows Live Messenger 9, people immediately want the new version, even if it's still in alpha. Worryingly for the  publishing industry, a couple of rival downloads sites have even found file-sharing links to this closed beta and have offered it to their web users. Do they have any scruples? Windows Live Messenger 9 is only available as a closed and early beta to selected testers, so isn't available for public consumption.

So, what's planned for the new version? Early rumours include support for third-party networks, so you can drop your Google Talk and Yahoo Messenger client and chat to your other network friends through Windows Live Messenger. The new version will enable you to login from multiple locations, assign custom sounds to important friends and much more.

Quickly scan & convert text-based documents using SimpleOCR

Screengrab From time to time, you may want to grab some text from a document, invoice, magazine or other printed literature, for a quotation, legal document or other reason. You could type the document by hand, but you're almost bound to make mistakes. It will also take time. If you have a scanner, why don't you scan in the document and turn the words in to digital words you can use in other documents?

SimpleOCR 3.1 is a simple but basic free OCR engine that will enable you to take machine-printed pages and then convert them in to words. It will also support handwriting, although the free version will only convert this type of document for 14 days from installation. You don't have to have scanned in a document to convert - if someone emails you a document, you can run this through SimpleOCR 3.1 for conversion.

Grab140 Get a quote from a web developer and you can easily spend a few thousand pounds developing even a basic web presence, without an e-store, connection to your local database and other advanced features. For this reason, many smaller companies are attempting to put their own site online, and maintaining the contents, rather than employing someone full-time or the use of an external web development team. The snag is, how do you get started?

NetObjects Fusion Essentials is a free version of the commercial web design tool. You pick the template you want to use, then start working on the pages. Once you are happy with the results and have previewed the content, you can then publish live on your own server or remote web space. There are alternatives. If you have a Mac, take a look at Rapidweaver which will enable you to produce a fantastic-looking site, based on a number of pre-designed templates.

Create PDFs from Windows applications with doPDF

Sure, there were (and still area) a small number of freeware titles available but being based around the Ghostscript technology, the final PDF images generated were not always good enough for professional or commercial printing. The bonus of using PDFs are that they are a universal document format, and almost anyone using the web can download read and print the literature contained within these documents.

doPDF 5.3.245 is a free PDF tool that will enable personal or commercial users to produce print or web quality PDF documents from an array of Windows applications. Although doPDF is a very useful tool, if you want to produce a more professional PDF document, there are other options such as Expert PDF Professional 5.

Print your documents on any printed connected to the Internet

Grab140_2 With later editions of Windows or Mac OS X, you have the capability of logging in to a computer, wherever it is connected to the Internet, as long as you know the IP address and the login/password (oh, and remote access is enabled). If you can log on to a remote computer or use a remote computer as a home-based server, there's no reason why you shouldn't be able to share your printer with another Internet user. This means you could print your work on a printer, whether it is connected in a building down the road or at the other side of the world.

PrinterAnywhere 1.08 is a free tool that will enable you to share your printer on your Internet connection. If you have a static IP, your details will never change, so if you have an expensive colour laser printer, you could even set yourself up as a semi-commercial publishing house and enable access to your printer to those with your details.

Google to turn Google Mail storage into GDrive?

Screengrab_2 We've been speculating for months now, but it looks like Google are finally about to release their storage depot for storing or backing up your files online. If you have a Google Mail account, you're able to store nearly 3GB worth of email, for free. If you require more space, you can  purchase more. You can also store and share your photos using the Picasa Web Albums and, again, you have the option to purchase additional space.

There are ways of storing files through your Google account, without waiting for the much-dubbed 'GDrive' from Google. The unofficial GMail Drive 1.0.12 will enable you to take your free GMail account and turn the storage space in to an area where you can store files. However, as it's unofficial, it could be stopped at any time, so perhaps isn't the wisest choice for relying on storing your important data.

Copy and transfer files with TeraCopy 2.0

Screengrab Moving and copying files is generally so straightforward we don’t even give it further thought: simply select the required files and copy or drag to your desired location. However, sometimes simple problems such as a file being in use can interfere with the copying process. This could cause the file not to be copied correctly, and if you are copying multiple files this can cause confusion. Using an application to replace the Windows Explorer copy command could help, or maybe an application that offered notification of any problems during copying would be handy.

TeraCopy 2.0 replaces the Windows copy command; it will enable you to pause and resume transfers, and will vary the way files are copied depending on its size. Another useful feature is that TeraCopy will inform the user of any problems during the transfer process.

Extract from just about any archive with Universal Extractor 1.5

Grab140 There are a number of different archive formats, with ZIP the most common across the two major operating systems. Factor in RAR, TAR and the different ZIP formats and it's rather difficult to find an archive manager that will handle all formats. The commercial applications are also somewhat feature-laden, offering many different functions that are often irrelevant for most users. You might just want to open an archive as quickly as possible.

Universal Extractor 1.5 is a tool that will enable you to open just about every archive. Better still, it's available from your right-mouse button menu, so you can quickly unextract files from an archive. Universal Extractor will even go further and will handle msi based wrapped up installation files, if you need to access the contents.

Grab the latest version of Mozilla Firefox 2.0.0.10

Logo If you're a Mozilla Firefox fan, we hope that you've downloaded the first preview of Firefox 3? No? Well, you're not missing too much at this stage. Visually it's very similar, a little faster in certain areas, but most of your favourite themes, add-ons and extensions will not be compatible with this early release of Firefox 3. You can't even install additional dictionaries and it crashes for us, on a small number of sites which we know work well with Firefox 2. Whilst we all wait for the final release, another update of Firefox 2 has been made available.

Mozilla Firefox 2.0.0.10 is now available for download and contains a number of small security fixes and, well, that's about it. Of course, if you use Firefox 2, it should auto-update. If you're yet to move across or do not want to auto-update, you can download manually.

Quickly launch your portable apps using Portable Start Menu

The easiest solution would be to take a external drive or USB stick and connect this to the host computer. Indeed, you could even be crafty and use your iPod Classic, as this will work as and external drive. Create an encrypted partition and you could install your favourite apps, bookmarks, passwords and more, then use this info, without it infecting or leaving traces on the host computer.

Portable Start Menu 1.2 is a free tool that you can use to launch these portable applications, on the external drive or USB stick. You can set up the menu on your home computer, move it across to the external drive and then you'll have instant access to these applications.

Completely remove installed software using Absolute Uninstaller

Grab140 We all want to install the latest software and then leave it on our system for weeks, before we decide to remove. The problem is that when we then remove the software, it can sometimes lead to files left on our machine, entries within the Registry and other software preventing a complete uninstall. This then causes our Registry to be larger than expected and, in return, can slow down our system startup and can conflict with other installed software.

Absolute Uninstaller 2.5 is a free tool that is more powerful than the supplied Windows Add/Remove programs utility. It will go far deeper than simply executing the uninstall script that's supplied with the majority of software. However, whether it's much better than the Vista-based Add/Remove programs facility, is open for question.

Notification of incoming email, without opening your email client

Grab140_3 We get so much spam these days that you often do not have the time to download your email before you start work. If anyone has used Microsoft Outlook, they'll tell you it can be very resource-heavy. Often you have to wait for the process of downloading and sorting your email to finish, before you can do some serious work. Particularly CPU intensive work. For this reason, it's it could be more useful to use a lightweight email notify application to inform you when important email arrives, then you could go online and read with your webmail service.

Poppy 5.8.3 is a small email nofication tool that resides in your System tray and will let you check more than one of your email accounts. When email arrives, it will inform. This tool could also be useful if you're working with another machine and you don't want to download your email to this machine, but do want to be notified when incoming email arrives.

Store your bookmarks through a central manager, with StorURL

Grab140_2 Unless you use Internet Explorer for everything, just which web browser do you set and use as your favourite? It's frustrating. You might prefer to use Opera at home, but then your work-based laptop will stop you from installing third-party software, so you're stuck with Internet Explorer. On your workstation, you might be able to install any browser, but only Firefox or IE will access and work with your internal CMS (we can't use Opera to edit vnunet.com content). Worse, you want to use Mozilla Firefox 3, but the majority of your favourite add-ons aren't yet compatible.

StorURL 2.5 is a bookmark manager that will enable you to store all your bookmarks within one separate interface, rather than within the browser. You can then open your bookmarks within the browser of your choice. StorURL will also import your existing bookmarks, from multiple browsers, to get you started.

Quickly view web pages as images with GooglePreview 3.4

Screengrab Enter a keyword when searching through Google and you'll be presented with hundreds of different web pages, many of which have no relevance to the original search. You've then got to make your own quick analysis, from the description of the page, which sites are the most relevant to your search. This can take ages and you'll also end up on various sites that you didn't want to visit. If only Google presented you with  screengrab of the web searches which may help make your decision.

GooglePreview 3.4 is a free Firefox add-on that will enable you to see a quick visual preview of the web pages presented, when you enter a Google search. It might give you a better understanding of the pages offered and whether you want to visit. The latest GooglePreview contains support for Firefox 3.

Give your Vista installation a boost using TweakVista

Grab140 The snag with any operating system is that it is designed in a manner so it will install on as many PCs as possible. For this reason, the drivers supplied are as safe and as tested as possible, and the operating system has only been optimised so far. Install the latest Windows Vista on your computer and the operating system hasn't been tweak, optimised and manipulated so it takes advantage of your PC and the peripherals attached. One starting point would be to grab the latest hardware drivers so that you have the latest drivers for your kit. The other option is to download a tweaking and optimisation tool.

TweakVista 1.01 is a tool that will analyse the software on running and installed on your computer and will see if they can be optimised so the system runs more efficiently. It will also benchmark your PC, check the startup applications and perform other optimisations. It's commercial and you might want to look at the free TweakVI for an alternative option.

Keep an eye on your server status with Simple Server Monitor

Screengrab_3 Whilst many employees work remotely, away from the office, most of our clients would have no idea where they are located. It's the same with a web server. Gone are the days where you needed a leased line and you would host a website on your own server and had a full-time admin making sure that it was up at all times (well, during office hours). Many servers are hosted in a remote location. The snag is, they're more likely to go down for various reasons.

Simple Server Monitor 2.0.4 is a tool that you can use to maintain your servers and keep you informed on whether they are online. It won't just ping a server, it will login with a username and password that you provide, so that you can make sure the components that reside on your server, are online.

Grab a free version of Ashampoo Office 2006 in Computeractive issue 254

Magazine If you own more than one computer, buying or upgrading Microsoft Office can be a real expense. Indeed, own a Mac laptop and a Windows desktop machine, and you have to fork out for two different editions. There must be an alternative. There are many different commercial and free alternatives, including the recent multi-platform Lotus Symphony, which is currently at beta 2. You could use this across both Windows and Mac OS X, keeping the same user-interface and familiarity, whilst reading and writing to Microsoft Office documents.

Computeractive issue 254 is now on-sale and includes a free full commercial version of Ashampoo Office 2006. This is is a full commercial office suite and is Microsoft Office compatible. It consists of a word processor and spreadsheet and certainly is worth considering, particularly as it's free for Computeractive readers.

Take grabs from your favourite with website with WebShot

Screengrab_2 From time to time, we follow a link on our favourite website and this leads to further websites that look interesting, but do not want to add to our bookmarks. One option would be to print the homepage, although sometimes the page will result in a low quality image, or often it won’t print at all if it is made up of dynamic content. The other option is to take a screengrab of the current web page, perhaps for reference purposes, and then store them for future reference. If you’re a web developer, you can also refer to these grabs for ‘inspiration’ when designing a new site.

Total Organizer 2.2 is a free personal information manager, which benefits from various project planning features. You can track projects, and add ‘to do’ notes, all enabling you to keep on control of your projects. This is a pretty basic tool, not really a complete project tool or contact manager.

To make sure your new ideas are kept on track, you could email the people involved with the project, but then email can lead to excuses such as spam-filtering, accidental deletion and more. It's too tricky using an external IM client, in case it is either block by your or a third-party firewall.

Spark 2.5.8 is a free instant messaging (IM) client that can be installed within your network and behind your firewall. It can be used to communicate with other employees or involve a few people within a group chat. Only your employees have access to this IM network, so you can be assured they're not spending all their time chatting with external friends.

Create and manage your eBay auctions using iSale 4

Grab140 Far from being an online auction house, eBay is almost an online shopping portal for people wanting to buy their goods. It's fairly easy to make money through eBay, but more difficult to get noticed and, if you start from scratch with no feedback, you'll need some eye-catching professional auctions so that you look like you've bothered to make the effort. Here lies the problem. Most eBay sellers simply use the standard browser-based tools to create their auctions and do not know that you can manage the visuals that make up your auction, through another specialised application.

iSale 4.4 is a tool designed for the Mac OS that enables you to pick a template for your auction then configure just about every aspect of this template. If you're a powerseller, you can use an external image storage site such as Picasa to maintain your images, whilst keeping a standard set of sales conditions for all your auctions. You can also monitor and maintain your auctions once they are online.

Protect your system with the free Comodo Firewall Pro 3

Logo If you felt inclined, there is no reason why you couldn't securely protect your system with free security software. There are some quality tools available. These include free anti-virus applications, such as PC Tools Free Anti-Virus, AVG Anti-Virus Free and so on. Some of these need manual updates, so there's a chance you may get caught out. There are free firewalls, too, from PC Tools, the most recent Webroot Personal Firewall 5.5 and now Comodo have finally released their Vista-compatible free firewall.

Comodo Firewall Pro 3 is a new release and completely free of charge. There's a key difference though, in that this free firewall can be used for your desktop home PC or commercial use. So you can now protect your workstation from intruders through your internal network. The new firewall includes an application analysis engine to protect against software that may attack your computer from inside your network.

It's here, the first public preview of Mozilla Firefox 3

Screengrab It was originally meant to have been released in November 2007, so it's a long way behind schedule. Let's be positive, the first beta public preview of Mozilla Firefox 3 has been made available. Yes, you can now start on the Firefox 3 path and leave Firefox 2 behind. However, it's not all good news - most, if not all, your add-ons will not work with the new browser. For instance, our British dictionary didn't work, which means that some of the spell-checking facilities were US-based only.

Start Firefox 3 and it appears that you've accidentally launched Firefox 2. There was talk of a new interface, although that may appear in the final release of the browser. However, there are lots of new improvements. It seems quicker, the rendering engine has been updated and there is a number of small visual improvements to the interface. There is a brand new bookmarks manager, Places,  and it seems fairly stable.

Add a domain name to your Windows Live services

Logo Microsoft's Windows Live service contains a myriad of online and offline tools that enable you to check your email, manage and share your photos, host and store data online and much more. They've now gone much further and added the facility for you to point a domain name to the services, so instead of using live.com or live.co.uk, you can now use yourdomain.co.uk and your Windows Live-based email will go through the Live service, even though it looks like you're hosting your own email, site and so on.

If you fancy moving your domain over to the Live services and hosting your business data and other information, online, why not consider the Windows Live Community Builder? You can choose a brand new domain, rather than moving across your business domain, if you prefer.

Backup your files using the data-burning BurnAware Free 0.1.1

Grab140_2 If you want to back up and burn your files, you can do this within Windows XP or Vista, although you'd be surprised that people go out and purchase an expensive media suite in order to create their own audio CDs or burn and backup their data files. There are alternatives and many of them are free. Most audio managers such as iTunes will enable you to create and burn your own audio CDs, although these are no good if you want to backup your files to a data disc.

BurnAware Free 0.1.1 is still in beta, but it's a simple tool that will enable you to take your files and quickly burn them to a disc, whether it's a simple 700MB CD or anything as large as a Blu-ray disc. That's assuming that you have a Blu-ray burner to create the discs. BurnAware Free won't enable you to create audio CDs though.

Store and take your passwords with you, using Password Memory

Grab140 With the rise of portability, we have to somehow remember more passwords when we surf the net. Borrow someone else's computer and you do not have access to your email, favourite sites and more. Worse, you try and access your email, online, and you suddenly realise that you had to set up a POP3 password for your specific email address, after you created your broadband account. Can you remember this info? Indeed, some sites auto-generate you a password that you're almost certainly never remember.

Password Memory 2008 is a commercial solution that will enable you to store all your favourite and obscure websites, along with the passwords required for access. Of course, only you have the facility to access this password manager and you can even take it on the road with you and be assured that the contents won't leak on to the host computer.

Auto-update your installed apps using UpdateStar 1.1

Screengrab Download and install some software on your computer and you may not realise that it has long-since been updated, with new features integrated. Better still, it might have had a fix to introduce stability in all scenarios, particularly under more recent operating systems. We don't always have time to check through all of our software and see if it has been updated, so an integrated tool that would show installed software and whether an update exists, would be handy.

UpdateStar 1.1 is a free tool that resides on your computer and will check the software installed on your machine. It will then check a remote database of available software and compare this list against your installed apps. If an update exists, you'll be informed. If a major update exists - or if you have trial software installed - you can also purchase an upgrade.

Developers, add an auto-update function to your apps

Grab140 As a software developer, despite the hours spent beta testing, there are always problems when you submit your software to the general public. There are many different system configurations, online issues and more. However, despite making updates available, many end-users simply forget to check for updates and will quickly uninstall your software if they experience issues. As a developer, adding an auto-update facility to your application, makes a lot of sense. It would enable the tool, on startup, to check for an update, download in the background and then re-launch the application.

One reason we can think that you'd consider Safari for Windows, is purely if you're used to Safari on the Mac.
